Job Qualifications

Essential Duties and Responsibilities:
Oversees HR responsibilities at SSE while providing leadership on organizational HR practices and policies.
Works in coordination across all departments to ensure thoughtful integration of initiatives to support the mission, goals, strategic plan, and other HR initiatives.
Takes the lead on planning and implementing HR goals within the strategic plan such as:
○ Employee handbook
○ Diversity, Equity and Inclusion training/goal setting
○ Annual performance & wage reviews
○ Sustainable staffing strategies
○ Human Resource handbook development
○ Career pathing and professional development
○ Supervisors handbook development
● Oversees important diversity, equity, and inclusion initiatives, in partnership with selected outside experts, to facilitate learning, dialogue, and growth for SSE.
● Provides support and guidance to management and staff when complex, specialized, and sensitive HR questions and issues arise; may be required to execute routine tasks in delicate circumstances such as reasonable accommodations, investigating allegations of wrongdoing, and exit management.
● Manages communication and form preparation with employee benefit providers. This would include all employee insurances provided, 401(k), worker compensation, COBRA, FMLA paperwork, creditable coverage, conflict of interest, background checks, etc.
● On-boards new employees and assists with completion of the required forms, coordinating their orientation to the organization and supporting their transition to the department and their team.
● Review and submit bi-weekly payroll to ADP. Create corresponding bi-weekly salary report.
● Update and monitor annual performance review process with support and coaching to managers and employees for successful conversations and documentation.
● Posts position openings with agreed-upon agencies, corresponds with and forwards applicant information to managers. Helps determine appropriate outreach mechanisms for recruiting new employees, as needed.
● Work closely with management on annual labor planning. Coordinates with other staff to interview and hire qualified job applicants; collaborates with departmental managers to understand skills and competencies required for openings.
● Monitor legal and policy requirements for employees to ensure both updated handbook, supervisor training, and policy deployment. Maintains all required records, SOPs, and documentation for the department.
● Analyze trends in compensation and benefits as well as emerging best practices for recruiting, hiring, and retaining staff; researches and proposes competitive base and incentive pay programs to ensure the organization attracts and retains top talent.
● Assess needs, coordinates, and possibly delivers trainings, development programs, and initiatives that provide internal staff development opportunities.
● Provide open office hours to support, advise, and mentor staff on topics related to performance management, career growth and development, workplace relationships, and conflict resolution.
● Host focus group discussions within the organization to hear staff suggestions that can help inform and guide ongoing HR strategies.
● Plan and coordinate a variety of different staff appreciation events and activities.
● Manage internal communications such as HR email announcements and curate all HR resources shared with employees on the intranet website.
● Assists employees as they leave employment with final processes and paperwork.
● Prepare supporting documents and complete HR compliance reports, including SSE’s annual 5500 report.
● Field employee questions and ensure employees follow all policies and procedures.
● Maintains company organizational charts, personnel files, HR documentation and an up-to-date employee directory.
● Perform other duties as assigned by the Executive Director and Deputy Director – Administration.
Supervisory Responsibilities:
● No supervisory responsibilities.
External-Department Responsibilities:
● Volunteers – Meet with volunteers to explain Volunteer Policy and retrieve signatures.
● Board Meetings – Assists in creating agenda and preparing board materials as needed. Helps organize and prepare for meetings and arranges board meals, as needed. Takes and reviews Board Meeting minutes. Maintains the board meeting binder with filing updates of meeting minutes and other paperwork.

Education and Experience

Technology Skills:
● Proficient with office software such as Microsoft Word, Microsoft Excel and Accounting and Payroll software programs.
Work Competencies:
● Degree or equivalent experience in human resource management
● Detail-oriented and organized
● Punctuality and dependable with a strong work ethic
● Confidentiality required
● Ability to multitask
● Excellent communication skills and ability to focus and prioritize
Physical Requirements:
● Ability to lift and carry boxes of materials (up to 25 lbs).
● Ability to work in gardens which will include bending, stretching, kneeling, walking, and pulling.
● Ability to work at a computer for long periods of time.
● An Associate’s degree in business, or related area of study, or 3-5 years’ experience in Human Resources field, or any similar combination of education and experience.
